The protection of your personal data is particularly important to us. To enable you to have a trustworthy application process, we would like to inform you about our data protection principles below. 

Your personal data will be stored and processed in accordance with the EU General Data Protection Regulation and German data protection regulations, particularly the Federal Data Protection Act. For the purpose of the application, we process the data and documents you provide as described below. 

This privacy policy applies in addition to our general privacy policy. 

1. Controller

The controller for the processing of your data when visiting this website is Hoffmann SE, Haberlandstr. 55, 81241 Munich. You can reach Hoffmann SE's data protection officer by post at the above address, addressed to the data protection officer, and by email at: dataprotection@hoffmann-group.com. For applications for open, advertised positions, the respective named Hoffmann Group company is responsible. An overview of all Hoffmann Group companies, their respective local responsibilities, and the contact details of the respective data protection officers can be accessed here. To enable you to apply to the Hoffmann Group via this website, Hoffmann SE will forward the data you provide to the Hoffmann Group company responsible for you if necessary. 
 

2. Data collection

2.1. Visiting the Website

We collect limited data when you visit the website without providing us with data through registration or filling out forms. You can visit our website without providing personal information. We store technical access data in so-called server log files, such as the name of the requested file, date and time of retrieval, transferred data volume, and the requesting provider. These data are evaluated solely to ensure the trouble-free operation of the website and to improve our website. On this website, we collect the IP address of the device you use to visit our website, the URL of the previously visited website (referrer), the URL of the (sub)page you access on the website, the browser, and the operating system of the device you use to visit our website. The collection of this data is technically necessary to display our website to you and to ensure stability and security. We (and our service provider) regularly do not know who is behind an IP address. We do not combine the above data with other data. 

2.2. Profile Creation for Application Uploaded via the Online Portal

The data and documents you enter and upload are processed directly in our applicant management system. You can make changes there yourself. The entry and upload of data take place via a secure https connection. 

2.3. Profile Creation for Applications Received by Email

For applications received by email, we transfer your submitted data and documents into the applicant management system.

2.4. Profile Creation for Applications Received in Paper Form

We ask you to send us your documents electronically. Your application documents sent by post will be scanned and transferred into our applicant management system. We will return your original application documents to you.

2.5. Contact Form

We provide a contact form on our website for easy contact. The data entered in the input mask are transmitted to Hoffmann SE and stored. Additionally, the IP address of the user and the date and time of transmission are stored at the time of sending. Alternatively, contact can be made via the provided email address. In this case, the personal data transmitted with the email are stored. The data are not passed on to third parties. The data are used solely for processing the inquiry. 

The legal basis for processing the data is, if the user has given consent, Art. 6 para. 1 sentence 1 a) GDPR. The legal basis for processing the data transmitted in the course of sending an email is Art. 6 para. 1 sentence 1 f) GDPR. If the email contact aims at concluding a contract, the legal basis for processing is Art. 6 para. 1 sentence 1 b) GDPR. The processing of personal data serves solely to process the contact. In the case of contact by email, this also constitutes the necessary legitimate interest in processing the data. The other processed personal data serve to prevent misuse of the contact form and to ensure the security of our information technology systems. The data are deleted as soon as they are no longer required for achieving the purpose of their collection. For the personal data from the input mask of the contact form and those transmitted by email, this is the case when the respective conversation with the user has ended. The conversation is ended when it can be inferred from the circumstances that the relevant matter has been conclusively clarified. 

3. Processing for Contact

We use the telephone number, email address, and address you provide to contact you with questions and concerns. 

4. Transmission of Applicant Profiles

If you have applied for a specific position or a vacancy matches your profile, we will transmit your documents directly via our applicant management system to relevant decision-makers within the Hoffmann Group. There is no forwarding to third parties.

5. Deletion of Data

For applicants who have applied proactively or were in an active application process and do not wish to be included in the talent pool (see below), the data will be deleted 6 months after rejection. 

You can also delete your applicant profile from our applicant management system at any time. To do this, send an email to recruiting@hoffmann-group.com. If you were in an active application process, we usually cannot delete your data immediately. In this case, we will block your data for a maximum of 3 months. Only individual persons from the recruiting department will have access to your profile during this blocking period. After this blocking period, your data will be completely deleted. 

6. Service Providers

The processing and storage of data in our applicant management system are carried out by our service provider. The service provider was checked in advance, and an order data processing agreement was concluded in accordance with § 11 Federal Data Protection Act. The servers on which the data are processed are located in Germany. 

7. Data Transfer

Your personal data are generally not transferred to third parties unless we are legally obliged to do so, or the data transfer is necessary for the execution of the contractual relationship, or you have expressly consented to the transfer of your data. Your data are only transferred to affiliated companies and service partners if they act on our behalf and support Hoffmann SE in providing their services. The processing of your personal data by commissioned service providers takes place within the framework of order processing according to Art. 28 GDPR. The aforementioned service providers only have access to personal information necessary to fulfill their respective tasks. These service providers are prohibited from disclosing your personal information or using it for other purposes, particularly for their own advertising purposes. If external service providers come into contact with your personal data, we have ensured through legal, technical, and organizational measures and regular checks that these service providers also comply with the applicable data protection regulations. Specifically, the following recipients are involved: A commercial transfer of your personal data to other companies does not take place. We value processing your data within the EU / EEA. However, it may happen that we use service providers who process data outside the EU / EEA. In these cases, we ensure that an adequate level of data protection comparable to the standards within the EU is established at the recipient before transferring your personal data. This can be achieved, for example, through EU standard contracts or binding corporate rules or special agreements to which the company can submit. 

8. Storage and Deletion of Data in the Talent Pool (optional)

The talent pool serves to match your application profile with corresponding future positions. In case of a match, we will contact you again. If you expressly wish to be included in our talent pool by confirming "Storage in the Talent Pool" in the application form (consent to storage in the talent pool (optional)), we will store your data until revoked, but no longer than 1 year after inclusion in the talent pool or after the last consent in case of extension ("duration of the consent declaration"). After expiration, your data will be automatically deleted without separate notification. You can, of course, delete yourself from the talent pool at any time; send an email to recruiting@hoffmann-group.com. If you were in an active application process, we usually cannot delete your data immediately. In this case, we will block your data for a maximum of 3 months. Only individual persons from the recruiting department will have access to your profile during this blocking period. After this blocking period, your data will be completely deleted. 

Of course, we will treat your application strictly confidentially and in accordance with current data protection regulations and will not pass it on to third parties. Your consent to data processing will be logged. In case of reapplication, the duration of the last consent declaration applies.

9. Cookies

If you have consented to the setting of statistics (analysis) and personalisation (marketing) cookies, the collection, storage and evaluation of the cookies listed below is based on Art. 6 para. 1 lit. a) GDPR. Of course, you can revoke your consent at any time under ‘Cookies’ in the footer at the bottom right of this website.

9.1. Matomo

This website uses the web analysis service software Matomo (www.matomo.org) to collect and store data for marketing and optimisation purposes. This data is used to create user profiles under a pseudonym; cookies are used for this purpose. Cookies are small text files that are stored locally in the cache of the website visitor's Internet browser. The cookies enable the internet browser to be recognised. The data collected using Matomo technology (including your anonymised IP address) is transmitted to our server and stored for usage analysis purposes, which helps us to optimise our website. The information generated by the cookie in the pseudonymised user profile is not used to personally identify the visitor to this website and is not merged with personal data about the bearer of the pseudonym. You can prevent the use of cookies and thus participation in tracking by setting your browser software accordingly, but in this case you may not be able to use all the functions of this website to their full extent. 

The legal basis for the processing of users' personal data is Art. 6 para. 1 sentence 1a) GDPR. 

The processing of users' personal data enables us to analyse the surfing behaviour of our users. By analysing the data obtained, we are able to compile information about the use of the individual components of the website. This helps us to constantly improve the website and its user-friendliness. Data is only collected and stored with express consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR. 

Cookies are stored on the user's computer and transmitted by it to our website. You therefore have full control over the use of cookies. You can deactivate or restrict the transmission of cookies by changing the settings in your internet browser. Cookies that have already been saved can be deleted at any time. This can also be done automatically. If cookies are deactivated for our website, it may no longer be possible to use all functions of the website to their full extent. You have the right of access (Art. 15 GDPR), the right to rectification (Art. 16 GDPR), the right to erasure (Art. 17 GDPR), the right to restriction of processing (Art. 18 GDPR) and the right to data portability (Art. 20 GDPR) vis-à-vis Hoffmann SE and the Hoffmann Group companies in accordance with the relevant legal requirements. You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). 

If you have given your consent to Hoffmann SE or a Hoffmann Group company, you can revoke it at any time with effect for the future by e-mail, fax or letter. You can find the contact details for the Hoffmann Group company responsible for you here. 

If Hoffmann SE and the Hoffmann Group companies process your data on the basis of a balancing of interests, you can object to the processing. If you object, your data will no longer be processed unless the responsible company can demonstrate compelling legitimate grounds.
